This privacy policy has been compiled to explain our commitment to your privacy for our current website and any subscriptions, products or services we may offer in the future.

While we require a minimum amount of information about you to provide superior service, we understand that part of this superior service is the maintenance of your privacy by minimising what we collect, keeping your information secure and using it only as you would want us to use it. What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Data we collect from contact forms is forwarded by email to the person within our group that will handle your query. If you have confidential information you need to discuss we recommend you contact us to initiate communications in an appropriate manner. Other methods to initially contact us are on our contact us page or below.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Website reporting and analysis is done at a combined data level with no personally identifiable information.

Location Services

We use Google services to generate maps and provide autocompletion when searching for events by location, which may collect data via your browser in accordance to Google’s privacy policy.

Event Management

We collect and store information you submit to us when making a booking, for the purpose of reserving your requested spaces at our event and maintaining a record of attendance.

We collect and store information you submit to us about events (and corresponding locations) you would like to publish on our site.

We may use cookies to temporarily store information about a booking in progress as well as any error/confirmation messages whilst submitting or managing your events and locations.

Membership

A variety of information for and about members is collected both on and off line. To help support members’ requirements some of this information is then stored online and is available to current members only, after logging into the members’ only area. The information stored includes, but is not limited to, names, email address, club roles, members’ rosters, photo gallery, the newsletter and the Caloundra Clipper publication.

Members who submit photos or articles, for use online or in publications such as the Caloundra Clipper, should only submit items they consent to be published.

We may use cookies to temporarily store information when members are logging into the Members Only area.

Who we share your data with: Third Party Disclosure

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. If we consider this in necessary in the future we would notify you in advance and require you to opt in. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect ours or others’ rights, property, or safety.

However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.

Occasionally, at our discretion, we may include or offer third party products or services on our website. If you elect to take up any offers, these third party sites have separate and independent privacy policies you should check. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You cannot request we delete information in publications such as the Caloundra Clipper as it has been shared to members, societies and libraries. Exported personal data will not include material in publications.

Where we send your data

Visitor comments are checked through an automated spam detection service.

Security of information

We will always maintain control over the confidentiality of your information on and off line. We will take reasonable steps to ensure that all information is stored in a secure environment accessed only by authorised persons.

Our website is scanned on a regular basis for security holes and known vulnerabilities in order to make your visit to our site as safe as possible. We use a SSL certificate.

We do not directly collect or store credit cards details our website and use PayPal services. PayPal collects personal data and you should check their privacy policy.

We will remove your information in a secure manner when it is no longer required.

What data breach procedures we have in place

Any known breaches will be brought to the attention of our Executive Committee who will specify the processes regarding the breach. At a minimum we will attempt to contact you if we believe your data has been compromised.

Family History Information Shared on our Website

CALOUNDRA FAMILY HISTORY RESEARCH INC., through this website, does not knowingly include information on any living person, except where they have given prior permission. If you have any concern about information contained on this website, including the use of a descendant’s name, then please contact us.
